Who we are
This website, truformicf.com, is operated by TruForm ICF Inc. (“TruForm ICF”, “we”, “us”), an authorized IntegraSpec ICF distributor based at 335 Admiral Blvd., Unit 9, Mississauga, Ontario. This policy explains what personal information we collect through the site and by phone, email and messaging, why we collect it, and the choices you have. We handle personal information in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada’s Anti-Spam Legislation (CASL).
Information we collect
Information you give us. When you request a quote, send a message, register for training or contact us, we collect what you submit, such as your name, company, email address, phone number, project type, your message, and any drawings or plans you upload. We also keep records of calls, emails and chat messages you send us.
Order and account information. When you place an order online or in store, or create an account in our online store, we collect your name, billing and delivery addresses, email, phone number, the items you order, your order history and your account login details.
Payment information. You enter your card details on the secure payment form of our payment processor online, or on our payment terminal in store, and not on our own servers or systems. We receive only limited information about the payment, such as the card brand, the last four digits, the amount, and whether the payment was approved. We do not receive or store your full card number, expiry date or security code.
Information collected automatically. When you visit the site, we and our service providers may collect technical information such as your IP address, browser and device type, the pages you view, how long you stay, and the website you came from. This is collected through cookies and similar tools.

Cookies and analytics
We use cookies and similar technologies to make the site work and to understand traffic. We use Google tools, including Google Analytics, to see which pages are visited and how people find us. You can block or delete cookies in your browser settings, and Google provides an opt-out for its analytics at tools.google.com/dlpage/gaoptout. Blocking cookies may affect how parts of the site work.
Who we share it with
We do not sell your personal information. We share it only with service providers who help us run the business and the site, and only as needed for those services. These include website hosting, email delivery, analytics and messaging services (including WhatsApp if you contact us through the chat button), payment processors, fraud-prevention tools, and delivery and freight carriers. We may share project details with IntegraSpec, the manufacturer, where needed to quote, supply or support your project. We may also disclose information where the law requires it.
Some of these providers are located or store data outside Canada, so your information may be handled in other countries and may be subject to their laws.
Payments and card security
When you pay by card in our online store or at our in-store payment terminal, your payment is processed by a third-party payment processor that complies with the Payment Card Industry Data Security Standard (PCI DSS). Online, your card details are entered into the processor’s secure form and sent to it over an encrypted connection (TLS/HTTPS). In store, you insert, tap or swipe your card on a payment terminal that sends the details directly to the processor in encrypted form. TruForm ICF does not see, record or store your full card number, expiry date or security code on our systems or in our email.
We keep only the limited payment details described above, such as the last four digits, the amount and the approval status, to issue receipts, handle refunds and resolve disputes. Please never send your full card details to us by email, text or chat. If you need to pay another way, contact us.
How long we keep it
We keep personal information only as long as we need it for the purposes above or as the law requires, and then delete or anonymize it. Order, invoice and payment records are kept for at least six years to meet Canadian tax and accounting requirements. Quote requests and general enquiries are kept only as long as they remain useful for your project or our business relationship.
How we protect it
We use reasonable physical, technical and organizational safeguards to protect personal information, including encrypted connections (HTTPS) across the site, access controls, and the use of PCI DSS compliant payment processors for card payments. If a breach of security safeguards involves personal information and creates a real risk of significant harm, we will notify the people affected and report it to the Office of the Privacy Commissioner of Canada as PIPEDA requires, and we keep a record of all such breaches. No website or method of transmission is completely secure, so we cannot guarantee absolute security.
Email and CASL
We send commercial email only with your consent, express or implied as permitted by CASL. Every commercial message identifies us and includes a way to unsubscribe. You can withdraw your consent at any time by using the unsubscribe link or by contacting us.
Your choices and rights
You can ask to see the personal information we hold about you, ask us to correct it, close your account, or withdraw your consent to our using it, subject to legal and contractual limits (for example, we must keep order and tax records for the period required by law). To make a request, contact us using the details below. We will respond within a reasonable time, normally within 30 days. If you have a concern we have not resolved, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.
